Cancellation & withdrawal policy

We know plans change. This policy explains how to cancel an enrollment, tour or program change, how we process your request, and what to expect for deposits and tuition.

Sample policy · Last updated October 2026

How to request a cancellation

Cancellation and withdrawal requests must be made in writing by a parent or guardian listed on the enrollment agreement. You can:

  • Email the front office with your child's name, classroom and intended last day of attendance.
  • Complete a withdrawal form at the front desk during drop-off or pickup.
  • Ask your child's lead teacher for a form, which will be passed to the office the same day.

Verbal requests are welcome as a heads-up, but your notice period begins once we receive the written request.

How we process your request

  1. ReceivedWe log the date your written request arrives. This starts your notice period.
  2. ConfirmedWithin 2 business days, we email a confirmation with your final attendance date and balance summary.
  3. FinalizedAny remaining tuition, credits or fees are reconciled on your account statement.
  4. RefundedEligible refunds are issued to the original payment method within 10 business days of your final day.

If you don't receive a confirmation within 2 business days, please contact the office so we can make sure your request wasn't missed.

Notice periods, deposits & refunds

We ask for 30 days' written notice before withdrawing. This lets us plan staffing and offer the space to families on our waitlist.

SituationWhat applies
Cancel before your child's start date, 30+ days aheadEnrollment deposit refunded in full, less a $50 processing fee
Cancel before your child's start date, under 30 days aheadEnrollment deposit is non-refundable
Withdraw with 30+ days' noticeTuition charged through your final day; prepaid tuition beyond it is refunded
Withdraw with less than 30 days' noticeTuition is due for the full 30-day notice period
Registration and annual supply feesNon-refundable once your child has started

Planned absences, holidays, illness and vacation days do not reduce tuition, because your child's space is held for them.

Tours & visits

Tours and stay-and-play visits are always free. If you need to cancel or reschedule, just let us know as early as you can, ideally 24 hours ahead, so we can offer the time to another family.

If the center needs to cancel

If we must end an enrollment or close a program, we will give families at least 30 days' written notice whenever possible and refund any prepaid tuition for days not provided. Emergency closures (such as severe weather) are communicated by email and text. Credits for extended closures are handled as described in your enrollment agreement.

Questions about this policy

We're happy to talk through your situation. In special circumstances, such as a family relocation or a medical need, the director may review notice requirements case by case.

On a live client website, this section would list the provider's verified office email, phone number and hours. Final terms must match the provider's signed enrollment agreement and applicable state licensing rules.
